MAUI Departmental and Collegiate Users,
For some time now, we have listed a "Deadline to submit course approval forms" on the Course Offerings and Offerings Planner pages in MAUI. The deadline listed applied to essential course data (subject acronym, course number, credit hours, cross-references, and administrative home), so there has always been confusion about when to submit other requests such as creating new courses, dropping existing courses, or revising other course data (such as titles, descriptions, prerequisites, etc.). In an effort to alleviate some of the confusion, we are removing this course approval date from the MAUI displays. Individual colleges will now determine whether or not a change is acceptable for the effective session submitted on the form. Please note that deadlines established by room scheduling, catalog, and sample plan staff remain as published or listed in other communications; this change applies to course approval transactions only.
When you are selecting an effective session, please note the following:
- It is not necessary for a course to be taught in the effective session; you may create a course for fall even if you do not plan to teach it until the following spring or summer.
- It is always in students' best interests to have all course information finalized before MyUI becomes available for students to view for a given session. For example, MyUI course data for Fall 2019 is open to students on 2/4/19, in preparation for Early Registration in April. Once MyUI is available, students will start using Schedule Builder to create schedules in preparation for registration. Students might not look at MyUI again prior to registration; changes made after it comes up may cause confusion or problems for students when they are ready to register. A course may be temporarily unavailable in Schedule Builder if changes have to be processed through the Offerings Planner.
- Sample Plans are based on course data for the upcoming fall semester.
- Hours changes made after the first tuition and fee assessment for the semester may impact a student's assessment and/or their full- or part-time status. Putting a student into part-time status can alter their financial aid and their ability to obtain deferments.
- Students will not be checked for prerequisites that are added after they've registered; they will, however, be checked for the new prerequisite in the final check before classes begin. This can result in a student being removed from a course because the prerequisite was not in place when registration opened.
- When students are enrolled, making changes can become difficult and labor-intensive. Please make every attempt to make changes before scheduled Early Registration begins for any session.
- If a department renumbers a large number of courses, or switches them to a new subject acronym, Registrar staff (course approval) must be contacted one year in advance to coordinate timing for publications, room scheduling, degree audit, and sample plans. A bulk change should be effective in the upcoming fall session to be included in publications and sample plans.
We have always processed course approval forms based on the session approved by the college, and that will continue to be our practice. We will be discussing this in more detail at an upcoming Student Academic Services Users Group meeting.
