Student Record FY26 Project Roadmap Overview

We are currently wrapping up a few student records projects for the FY25 roadmap, including Student Program of Study Enhance Sync, Integration of Postsecondary Education Opportunity in MAUI, and an update to our end-of-session processing.
The FY26 roadmap is shaped by a strong focus on meeting regulatory and compliance requirements from the Iowa Board of Regents, as well as state and federal mandates, including accessibility updates in MyUI and MAUI to meet WCAG 2.1.
- The Curriculum Administration project is a major multi-year effort to build an infrastructure that will store curriculum requirements in MAUI. While foundational work began last year, this project will continue to evolve, ultimately improving the annual curriculum process, unlocking real-time aggregate data, and enhancing student planning tools like MyPlans, Schedule Builder, and MyUI’s course browse across all colleges.
- MAUI Upgrades: technical maintenance and upgrades done by the architecture team to prevent MAUI from becoming outdated or obsolete.
- Academic Standing and Distinction enhancement: updates based on recommendations that come from the Academic Recovery Model Committee.
- Allocations:
- 1.0 – While partial programming is in place in MAUI Planner production, it was necessary for Classroom Scheduling to pivot slightly due to accommodating an evolving need. More to come soon on the rescheduled Teach and Learn when all programming is in place.
- 2.0 -- Expands on foundation of 1.0 with additional enhancements to make allocation process more structured and rule-based, so it can better address classroom space needs as enrollment grows
- Course syllabi: storing a few additional data attributes in MAUI’s Offerings Planner and Course Library.
- New Developer App Migration: migrating a few specific workflows into a new application. Examples include the Honors Contract, Prerequisites, and the MAUI Access Request.
- Student Email Migration: moving student emails from MAUI to Dispatch. Examples include prerequisites or waitlist emails. Dispatch allows us to utilize UI Branded Templates (look less like spam) and built-in analytics.
Importantly, we’ve met individually with each college to understand their unique needs. As we move forward, we’ll incorporate these insights where possible, addressing low-hanging fruit and sprinkling in enhancements as capacity allows. This collaborative approach ensures the roadmap remains responsive and grounded in real-world needs.

Student Perceptions of Teaching (SPOT) Survey Updates

To allow an instructor who supervises Teaching Assistants (TAs) in a lab or discussion section to view TA SPOT Survey, departmental administrators can provide access through the instructor panel in Offerings Planner by editing the faculty (not the TA) entry, and selecting “Can see TA results in SPOT”.

The Registrar Service Center moved out of the UI Service Center in 2700 University Capitol Center (UCC) and is temporarily located in 2900 UCC. Staff are available Monday – Friday, 8 a.m. – 4:30 p.m.

MAUI Help Resources
Alysha Ahlf - Office of the Registrar
Alysha Ahlf, Student Systems Support Coordinator, Office of the Registrar discussed Registrar Services Training opportunities available to MAUI users which are provided by the Registrar’s Office.
An overview of the MAUI Help site was also provided, encouraging new department administrators to review the Classroom Scheduling/Offerings Planner Glossary, a helpful tool providing information about terminology and processes related to course section management. The MAUI Help site also provides many MAUI Help Guides in the areas of Advisor Administration, Course Section Management, Course Library, Exams, Grades, Registration Management, and Sample Plans.
Help Site visitors are encouraged to utilize the search function at the top of the site to quickly locate information about specific topics.

Degree Services
Exams
- Registrar Exams, ITS, the College of Liberal Arts and Sciences, and the Division of Online Education have had several discussions regarding final exams to relieve space constraints for extended time accommodations. Beginning with fall 2025, the MAUI final exam needs submission tool will include an option for exam length: 60 minutes, 80 minutes, or 120 minutes. Instructors will be able to choose one of these three options for the length of their final exam.
- Final exam needs are open for fall 2025 until August 20.

Registration and Prerequisite Reminders
Fall 2025 Registration Changes
- First 5 Days of the Semester:
- Students may adjust their schedules in MyUI without advisor authorization through Monday, Sept. 1. at 11:59 p.m.
- Waitlists remain active during this period.
- Special Permission Numbers remain valid in MyUI.
- Beginning Day 6 of the Semester:
- Waitlists expire on Monday, Sept. 1 at 11:59 p.m. After this time, adds can be processed in MAUI or initiated by the student in MyUI.
- For off-cycle courses, waitlists close at 11:59 p.m. the day before the course begins.
- Registration changes require authorization.
- Special Permission Numbers are no longer valid.
Fall 2025 Prerequisite Review Deadlines
- Aug. 13: Review and update students with In — Progress UI Coursework permission.
- Aug. 20: Review and update students with Conditional — Proof Required permission.
- Students with Conditional — Proof Required permission will be notified of potential drops 10 days before the semester. Those who don’t provide proof will be dropped on Aug. 20.
- For all deadlines, ensure students have the correct prerequisite permissions: Permanent, Conditional — Proof Required, or Met — Proof Provided.
Winter 2025 & Spring 2026
- Session Creation begins Sept. 12, 2025.
- Students may be authorized to register and granted special permissions.
- The Student Billing Agreement is applied.
