  • The inactive course workflow will appear different for ADAs and DEOs this year.
  • Users can sort by status (no status, keep, or drop) to help assist with filtering and prioritization.
  • If a department has a new ADA or DEO this year, email reg-access-maui@uiowa.edu and reg-course-approval@uiowa.edu.

Instructor Assignment Rights for Student Disability Services (SDS)

Key Take Aways

  • Students must register with the SDS Office AND generate Letter of Accommodations (LOAs) for the course sections that need accommodations
  • The instructor must be assigned to the course section in MAUI that the student has generated the LOA for
  • SDS recommends generating a LOA for each section (lecture, discussion, lab, etc.) of that course
  • Departmental administrators should not add instructors on to unnecessary course sections

2025-26 Curriculum Changes and Catalog Timeline Update

Curriculum Updates

  • Decisions about curriculum changes for 2025-26 should be made by this November in order to have the smoothest transition through all of our curricular tools (catalog, degree audit, and sample plans). January is really the latest that curricular decisions should be made in order to get into all the systems on time.
  • Please reach out to Emily Johnson (emily-johnson-5@uiowa.edu) and the catalog team (registrar-publications@uiowa.edu) as soon as possible if you anticipate significant 2025-26 changes that won’t be ready when the catalog opens in November. We will adjust how we work with your catalog pages behind the scenes so that everyone – you and us – is duplicating less work. A significant change in this context could include:
    • Adding, revising (e.g. changing a name) or closing a program or subprogram
    • Changing the structure of a program of study’s curriculum – e.g. changing how requirements work, how many categories of requirements exist, etc.
    • Changing the total s.h. required by a program of study
  • Reminder: Course data (title, s.h., prerequisites, description) is fed from MAUI and cannot be edited directly in the catalog. Changes to course data need to be handled through the course approval process.

General Catalog dates are now published online.

Nov. 4, 2024 – General Catalog open for editing
Jan. 17, 2025 – Catalog initiator deadline (catalog pages must be initiated in workflow by this date)
Feb. 3, 2025 – General Catalog editing closes
June 1, 2025 – 2025–26 General Catalog published online
Sept. 11, 2025 – Archival PDF of General Catalog created

Alysha Ahlf and Elissa Thoman from the Office of the Registrar provided information about some of the key areas of the MAUI Help Site which departments can utilize for some of the upcoming end of summer session and beginning of fall semester processes.

MAUI Access and Training

Help Pages for Summer End of Session Processes 

  • Grades
    • Summer 2024 grade lists are open for editing and submission. 
    • Final grade lists must be in approved status by 5 p.m. on Aug. 7. 
    • Administrators with grade submission and DEO Delegate Approval rights may not approve lists they submit into workflow. 

Help Guides for Start of Fall Semester 

  • Registration Changes
    • Department: email sent to the registration email for the academic unit of the admin home of the course. 
    • Advisor: email sent to all primary advisors regardless of a student's program of study. 
    • Ability to request online registration changes begins the 6th day of the session for full semester courses and the 1st day of the course for off-cycle courses 
    • Email with requested registration changes are sent to advisors and departments at 5 a.m. each morning. 
  • Instructor Assignments  
    • Important to have instructors assigned for all sections with student enrollment. Instructor assignments impact ability to access ICON, submit attendance and grades, view MyCourses information in MAUI and SDS Letters of Accommodation in ICON
    • Report to check which sections do not have an instructor assigned 
  • Waitlist Management 
    • Students with pending waitlist offers will factor into the enrollment count for the section 
    • Best Practice: if reprioritizing a student to the top of a waitlist, email them prior to sending out the offer so the student knows it is coming.

Beginning of the Semester Reminders

Course Section Cancellation Reminders

  • Sections with zero enrollment can be cancelled by the department by changing the Registration Status to Cancelled.
  • Requests to cancel CLAS course sections with enrollment are processed through the Course Cancellation Request Form.
  • If providing a list of sections to move students to, change the Registration Status of those sections to Pending if there are very few seats remaining.
  • Do not contact students about the cancellation until after CLAS has approved the cancellation*
  • Our team will post a comment on the workflow indicating the department should proceed with student notification.
  • The department should then post a comment on the workflow indicating students have been notified.

*If the department has already been in contact with the Dean’s office and verbal approval of the cancellation has been given prior to submitting the form you can notify students. In that case, please use the notes area on the form to provide that information.

Classroom Deadlines and Info

  • The annual Instructional Facilities Governance Report data analysis of course offerings has begun. Academic departmental administrators (ADAs), please look for an email Thursday, Aug. 1.
  • The Office of the Registrar needs your assistance in the verification of the fall 2024 course data in order to fulfill our yearly obligation to the Board of Regents, State of Iowa.
  • Please review and complete the required modifications by Wednesday, Sept. 4, at 11:59 p.m.

Degree Application Deadlines

Fall 2024 degree applications deadline for all degree candidates on Friday, Oct. 4, 2024

Exams

Final exam needs are open for fall 2024 until August 21.

  • The historical 2024–25 General Catalog PDF will be created in September.
  • More information will be coming via email in August regarding updates for the 2025–26 General Catalog.

  • Summer 2024 final grades for six-week II, eight-week, and twelve-week summer sub-sessions open 7/24/2024 to 8/7/2024

Offering Planner Deadlines and Updates

  • Summer 2025 planner closes on 8/6/2024
  • Spring and summer 2025
    • Offerings Planner reopens for proof period on 09/16/2024
    • MyUI Course Browse and Schedule Builder available on 9/30/2024

Registration Deadlines

  • Fall 2024 Last Day of MyUI Registration without authorization and Waitlist functionality is 9/9/2024
  • Students may make registration changes through the first five days of the semester via MyUI without authorization of an advisor. This option ends prior to the sixth business day of the session (For fall 2024, this option will end on Sunday, Sept. 8 at 11:59 p.m.). Waitlists will also continue to be active during this time.
    • If waitlist is in effect, instructors or departments should not initiate adds in MAUI or sign any change of registration add slips. To add a student to the waitlist, the instructor would contact the ADA. If a course is off-cycle, the waitlist ends at 11:59 p.m the day before the class starts. At this point approved users will be able to see the waitlist but it will no longer be in use. Instructors or departments could initiate an add in MAUI or the student should initiate the add in MyUI.
    • Reminder: Special Permission Numbers will continue to work through the first five days of the semester via MyUI.
  • Fall 2024 prerequisite review dates:
    • Review by Wednesday, Aug. 7 review and update students with In-Progress UI Coursework permission.
    • Review by Wednesday, Aug. 21 review and update students with Conditional-Proof Required permission.
    • Prerequisite checking - Please be sure students have the appropriate prerequisite special permissions assigned (Permanent, Conditional-Proof Required, or Met-Proof Provided). Notification of potential prerequisite drops will be sent to students ten days prior to the semester for those with Conditional-Proof Required special permission. Students who fail to provide proof will be dropped from the course on Wednesday, Aug. 21.
    • If a student’s prerequisite permission is updated to “Not Met”, the department will need to remove the “Not Met” status and provide either “Permanent” or “Met – Proof” for the student to re-enroll in the course, if space is available, or join the waitlist.

  • Winter 2024 and spring 2025 session creation is 9/13/2024.
    • At this time, students can be authorized to register, and special permission can be granted.
    • In addition, the Student Billing Agreement restriction will be placed on the students' account.
