Summer 2021 Course Offerings Resubmission and Scheduling Guidelines & Update to Fall 2021 Planner Close Date

This message is intended for Academic Departmental Administrators, Collegiate Chairs, Directors, and DEOs offering summer and fall 2021 courses. After review of this message, if you find that something is not working as anticipated please contact our office.

Spring 2021 Update: We encountered technical difficulties yesterday evening (10/5/2020).  We will keep Spring 2021 planner open through 11:59pm tonight (10/6/2020) for those of you that were unable to submit your offerings.

Once again in response to earlier planning completed prior to COVID-19, our summer 2021 offerings require a secondary review and submission period to adapt our course delivery to combinations of face-to-face, hybrid, and virtual/online instruction. This procedure will follow the previous resubmission process as spring 2021.  Furthermore, the Office of the Registrar has been directed that we will continue to follow the same parameters as fall 2020 and spring 2021 with 50 or more optimum enrollment offered virtually/online, and 49 and below offered in a mix of modalities.  We will continue to operate on a reduced seating capacity across all instructional spaces on campus. The summer 2021 session dates remain unchanged, Tuesday, June 18 – Friday, August 6.

Fall 2021 Schedule Update to Planner Close Date

The summer 2021 session dates remain unchanged, Tuesday, June 18 – Friday, August 6. However, due to the overlap in summer resubmission and fall planning, the Office of the Registrar has extended the open period to coordination by three days. Please see the table below.

Combination of Modalities

The following two strategies used in summer planning should be exercised by all colleges to make efficient use of instructional classroom operating capacity:

  • All section types with optimum enrollment of 50 should be manually adjusted to online/virtual, if not already done.
  • For classes with less than 50 optimum enrollments (49 or below), each department is expected to plan utilizing the following formats: in-person, hybrid, and online.  While there is no required percentage of in-person classes, modality decisions should be primarily based on pedagogy.  It is the expectation that this decision making process will result in a reasonable number of in-person course sections in each college.

Following this approach allows sections with lower enrollments to use larger classrooms for additional physical spacing. As a result of our reduced instructional capacity/classroom operating capacity, campus course scheduling will be based on “best fit” strategies.

MAUI Planner COVID Resubmission Period

A manual process completed by the Academic Departmental Administrators will be used to revert sections back to “Planning” Status to allow for updates to critical scheduling information.  MAUI programming allows a section offering requiring an edit to be “reset” to Planning Status in MAUI Planner. The button is located on the Summary Page at the top of screen next to Copy Section. For summer 2021, use of this button will revert sections back to “Planning” Status for update to critical scheduling information to be used by the Office of the Registrar. Several data fields require your attention during this Resubmission Period and are described below:

Delivery Modes

Use of the previous Learning Types of synchronous, asynchronous, and blended have been removed from use in the MAUI Planner. There is no further use of these indicators for spring 2021 and after. Instead, our campus will rely solely on the use of course Delivery Modes. Each section offering with an Academic Unit Course Management Type is expected to report a single Delivery Mode only which is programmed to display on MyUI describing the instructional methodology of course delivery. This should be done by resubmitting the section offering to Planning Status with the “Reset to Planning” button. The Delivery Mode field can be found in the upper right corner of the Planner screen. The primary course Delivery Mode options are:

  • Face-to-Face – A course held in-person in a University Classroom or instructional space
  • Hybrid without Student Rotation - A flexible course where students will have both face to face and virtual instruction. It is expected that 50% of the instruction will be in-person
  • Hybrid with Student Rotation - A flexible course where students will have both face to face and virtual instruction. A percentage of the class will rotate on a set schedule
  • Web – A course held online
  • Individualized Experience –An individual or small group format including but not limited to internships, independent study, or research projects with faculty or off-campus partners (updates to this Delivery Mode for 0IND sections has been completed by the Office of the Registrar)

The Office of the Registrar strongly encourages use of the Registration Information field in MAUI Planner by departments to describe the operation of the section offering. This additional information assists students, advisors, staff and parents who review MyUI to better understand what to expect during the summer 2021 session.   

Priority Exceptions

While planning for your summer, we ask that any questions regarding the appropriateness or changes of instructional modalities be directed to your Associate Dean(s) for feedback. No formalized exception process will exist in this compressed resubmission/scheduling time frame. The Associate Deans will be able to generate a report to continuously review sections submitted into workflow as oversight. Any concern identified during this review period should be addressed before final approval of the section is granted by the Office of the Registrar. 

Time and Location

  • Based on reduced classroom operating capacity, section types in the 49 and below size category assigned to departmental instructional space will likely require adjustments to their location (including laboratories, music/art studios, dance facilities or other professional instructional spaces). Be sure to review optimum enrollment to prevent overbooking the reduced capacity sizing. Additionally, providing realistic enrollment projections enables improved classroom allocations across all disciplines
  • The room preferences field should be used based on critical need for instruction or ADA accommodation ONLY
  • Update current departmental classroom location, if change is needed
  • Change time/day only when no other solution exists
  • Spring 2021 and Summer 2021 will follow the standard time model for University Classrooms.
  • If listing an asynchronous time (ARR/World Wide Web) and short contact minutes, please explain class format in the Registration Information field. For example, "A portion of this course may have online lecture and asynchronous components to fulfill contact minutes".

If section is desired to be canceled; follow existing process with Reg MAUI Support

General Information

  • As you move forward with assigning space to align with new campus scheduling policies, we understand that departments may be inclined to split one large course section into two or more smaller sections. However, with instructional capacity for summer 2021 at a premium, this should only occur in the rarest of instances.   • Professional schools offering clinical rotations/simulations or who may have questions regarding their curriculum should direct their questions to tanya-uden-holman@uiowa.edu
  • All approved course offerings will remain in MAUI as listed. Therefore, it is not necessary to modify the section identifiers or Management Types to DOE unless a section will be supported completely by Distance and Online Education.
  • As a result of Face-to-Face class resumption, University Classrooms (UCRs) cannot be assumed to be available for asynchronous lecture recording or class preparation during summer 2021. Please contact registrar-room-res@uiowa.edu for options that may exist in small seminar spaces.

Summary of Action Steps for Departments

  • Communicate the department’s plan for summer instruction, including modalities to be utilized, to Associate Deans
  • Use the new button to revert a section back to Planning to update the following information:
    • Delivery Mode
    • Time and Location
      • Update for a face-to-face class needing to be assigned in a departmental instructional space that meets reduced classroom operating capacity
  • Resubmit offering to workflow
