Cherie Howes will be stepping away from her duties with the commencement team, which means there is an opening to join Alysha Ahlf, Sarah Davis, Kristan Hellige, Josh Hutchison, and Kelly Taylor on the UI Commencement Team!
As a team member, you’ll collaborate with passionate colleagues to create memorable events, celebrating the academic achievements of our graduates and providing great experiences for their guests. This opportunity supports professional growth and will be a great addition to any resume with skill building including but not limited to vendor management, expense tracking, and communication. Cherie and the commencement team will provide support this fall as you learn the role.
Please review the time commitments and responsibilities below to determine if you might be a good fit for this team. Additionally, we'd like to request that you discuss this opportunity with your supervisor, as commencement overlaps with other busy times in our office.

Time Commitments
- Two, one-hour monthly meetings (January–May and August–December)
- One with the commencement team
- One with the collegiate coordinators
- Additional meetings as needed
- Time in February or March and September or October to coordinate with vendors
- Additional follow-up as needed up until the commencement ceremonies
- Time after May ceremonies and December ceremonies to coordinate vendor payments
- Provide support at the CLAS ceremony at Carver in the fall
- Provide support at most ceremonies at Carver in the spring (six ceremonies, Thursday–Sunday)
Primary Responsibilities
- Coordinate with commencement vendors on ordering and delivery of items and/or services:
- Chair rentals through Aero Rental
- Custodial services through UI Facilities Management and Nationwide Office Care
- Quintet from UI School of Music
- Flowers from Forevergreen
- ASL interpreters through Hands Up Communications
- Johnson County Ambulance Service
- Other vendor support includes:
- Ceremony details submission to Flash Photography
- Courtesy communication to Iowa City Police Department
- Generate a blue req for UI Campus Safety services
- Communicating with commencement coordinators regarding updates to ASL interpreters and the quintet
- Collaborate with Shared Services to make payments to the following vendors:
- Aero Rental
- Contemporary Services Corporation (for contracted security at venues)
- Forevergreen
- Hancher
- Hands Up Communications
- Johnson County Ambulance Services
- Marching Order (for name cards)
- Nationwide Office Care
- Quintet
- Sound Concepts (for sound and stage at Carver)
- Additional vendors as needed
- Tracking of all commencement expenses
- Manage communication with vendors and commencement coordinators using the shared commencement inbox at UI-commencement@uiowa.edu
